Crew & Pilot Tracking

Track pilot assignments and crew duty hours through the flight log system. Each flight log records the Pilot in Command, and AeroTrack aggregates pilot flying hours across all flights. This guide covers recording crew in flight logs, viewing the pilot duty log report, monitoring duty hours on the dashboard, and tracking pilot qualifications through the HR module.

Record Crew in Flight Logs
1 Pilot in Command Field

When creating a flight log at /flight-ops/log-book/new, the Pilot in Command field records who flew the aircraft. Enter the pilot’s name or designation:

FieldRequiredDescription
Pilot in CommandYesName of the PIC (e.g. “Capt. Sharma”, “F/O Patel”). Max 100 characters.
Flight log form with the Pilot in Command field highlighted, showing aircraft selector, date, and departure/arrival bases
The Pilot in Command is recorded as free text. Use consistent naming conventions (e.g. always “Capt. Surname”) so the Pilot Duty Log report can aggregate hours correctly by pilot name.
2 Flight Log Table — Pilot Column

The flight log table at /flight-ops/log-book shows the Pilot column for every recorded flight. Use the aircraft filter to see all flights for a specific aircraft and review which pilots operated it.

3 Pilot Duty Log

The Pilot Duty Log report aggregates flying hours per pilot across all approved flight logs. Navigate to CAMO Reports → Pilot Flight Log at /camo/reports/pilot-flight-log to view:

Report ColumnDescription

Total Air TimeCumulative flying hours.
Total Block TimeCumulative gate-to-gate hours.
Total LandingsCumulative landing count.
RoutesDeparture and arrival bases flown.
The Pilot Duty Log is a printable CAMO report. Use it for DGCA pilot hour compliance checks and duty time monitoring.
4 Dashboard KPIs

The Flight Operations Dashboard at /flight-ops/dashboard provides summary KPIs:

KPIDescription
Flights This MonthNumber of flight logs created this calendar month.
Hours This MonthTotal air hours flown this month across the fleet.
Fleet SizeNumber of active aircraft.
Components TrackedInstalled components with life tracking.
Flight Operations Dashboard with KPI cards showing flights this month, hours this month, fleet size, and recent flights table
5 Recent Flights Table

The dashboard also shows the Recent 10 Flights table with the latest approved flights, including pilot names, routes, times, and aircraft. This gives a quick view of current fleet activity.

HR Integration
6 Licence & Training

Pilot qualifications and licence validity are managed through the HR module. Cross-reference pilot records to ensure:

CheckHR Module
Pilot licence validityLicence Tracking — check expiry dates and type ratings.
Recurrent training statusTraining Records — verify safety, CRM, and type-rating training.
Employee profileEmployee Management — designation, department, qualifications.
DGCA regulations require pilots to hold valid licences and current training records. Cross-check the HR module’s licence expiry alerts before assigning pilots to flights.
